An AI assistant for the business owner: what already works
No science fiction: which jobs an AI assistant already takes on in an ordinary company, where it cannot be trusted, and how to run a pilot in 2–3 weeks.
There are a lot of promises around AI, so let me start with what actually works in everyday business. The main value of an assistant is not "smart answers" but the fact that it never forgets.
Where agreements get lost
Half of a company's agreements live in chats: "I'll send the proposal by Friday", "I'll call back after lunch", "let's sign it off next week". They reach the CRM only if a manager bothers to add them. Usually they do not.
What the assistant does
- Reads work conversations. Work chats in Telegram and WhatsApp, and enquiries from channels connected to the CRM.
- Finds promises and deadlines. "I'll send the proposal by Friday" becomes a task with a deadline and an owner.
- Creates and updates deals. A new lead from Instagram becomes a deal in the CRM, and a manager is assigned straight away.
- Sends an evening digest. The owner gets a short Telegram summary: what came in, what was done, what is overdue.
This is what an ordinary day looks like in the assistant's log:
- 09:12 — a lead from Instagram became a deal in Bitrix24, manager assigned;
- 13:05 — "I'll send the proposal by Friday" from a chat became a task with a deadline;
- 19:00 — the day's digest went to the owner in Telegram.
Where AI cannot be trusted
- Final decisions. The assistant suggests a task, and a person approves it — at least at the start.
- Ambiguous phrases. Is "let's come back to this" a promise or a polite no? The assistant flags such places rather than deciding on its own.
- Confidentiality. Only work channels are connected, employees know about it in advance, and data is processed where the company has agreed it can be.
How to start
There is no need to automate everything at once. A good pilot is one department and one or two channels:
- We pick the place where the most agreements get lost.
- We connect the assistant to those channels and to the CRM.
- For two or three weeks we track how many tasks and deals it caught and how many would have been lost without it.
- Based on the results, we decide whether to extend it to other departments.
A pilot takes 2–3 weeks. In a free 30–40 minute review I will show what it would look like in your channels and your CRM.
